Position Overview

We are seeking a professional and detail-oriented Groups Reservations Agent based in Melbourne, VIC to manage the day-to-day operations of group reservations. This role is responsible for driving booking conversion, managing group blocks, and ensuring a seamless customer journey for all group guests. The Groups Reservations Agent will liaise with sales, revenue, events, finance, and operational teams to deliver outstanding service and support the company’s strategic and commercial objectives.

Key Responsibilities:

  • Handle group enquiries promptly and provide accurate quotes using the Revenue Performance Tool (RPT).
  • Manage all aspects of group reservations, including contracts, confirmations, invoicing, and pre-arrival documentation.
  • Liaise with internal stakeholders to ensure a smooth guest experience from booking to check-out.
  • Monitor group pick-ups and attrition, providing regular updates to relevant teams.
  • Ensure proper billing, routing instructions, and payment methods are applied for all group bookings.
  • Maintain accurate records in the property management system and update reservations promptly with any changes.
  • Champion exceptional guest service, resolving any issues professionally and efficiently.
  • Follow all Group security, safety, and cyber/technology standards, including password and data security protocols.
  • Assist in reconciling folios and preparing financial documentation for internal and external audits.
  • Promote a proactive, motivated, and supportive work environment for the team.
  • Actively uphold WH&S, ESG, and responsible business standards in all duties.

What We’re Looking For:

  • Previous experience in reservations or hotel front office operations, preferably within group bookings.
  • Strong attention to detail and organisational skills.
  • Excellent communication and interpersonal skills.
  • Ability to work in a fast-paced environment, manage multiple priorities, and meet deadlines.
  • Commercial awareness and ability to follow company policies, procedures, and compliance requirements.
  • Proactive and solutions-oriented with a focus on customer satisfaction.
