About the role
We are seeking a highly organised and enthusiastic Conference & Events Administration Support Coordinator to assist our Conference & Events team across a portfolio of eight hotels.
This is an excellent opportunity for someone looking to start or grow their career in events, or administration. The role provides administrative and coordination support for meetings, conferences, and events, ensuring all event details, client communications, payments, and system updates are managed accurately and efficiently.
Working closely with the Conference & Events and Sales teams, you will help create exceptional client experiences from enquiry through to event delivery.
Key responsibilities
Event Administration

Prepare and finalise Banquet Event Orders (BEOs) for confirmed events.

Coordinate and place catering orders with catering teams and forward communication to the hotel teams.

Ensure event information is accurate and communicated to relevant departments.

Maintain event records, contracts, and client files.
Client Support

Respond to small meeting and event enquiries across eight hotels.

Assist with preparing proposals, quotations, and contracts.

Follow up proposals and enquiries to support booking conversions.

Provide timely and professional customer service via phone and email.

Build positive relationships with clients and internal stakeholders.
Payments & Financial Administration

Process and track event deposit schedules.

Follow up outstanding deposits and pending payments.

Assist with invoice administration and billing requirements.

Liaise with Finance teams to ensure accurate account management.
Systems Administration
-
Set up event accounts within the hotel Property Management System (PMS).

Update booking details, payment information, and client records.
-
Ensure all systems are maintained with a high level of accuracy.
Team Support
-
Support the Conference & Events team with day-to-day administration tasks.

Work closely with Sales, Operations, Reservations, and Finance departments.

Assist with ad hoc projects and reporting as required.
Qualifications & experience

Ability to manage multiple tasks and deadlines.

Good computer skills, including Microsoft Outlook, Word, and Excel.
